An exciting opportunity has arisen for a talented Programme Co-ordinator to join our Derby based projects team. This is for an initial 12-month fixed term contract to cover maternity leave.

Job Description

This exciting role is responsible for assisting in the definition and control of the standards within the project management function. You would strive to standardise and introduce repetition in the project process and act as the source of documentation, guidance and metrics on the practice of project management. Alongside this, you would support the successful delivery of projects & programmes undertaken by through effective tracking and reporting whilst assisting in the management of key initiatives and programmes supporting the strategic objectives of the organization.

Role Requirements

We are looking for an expert practitioner with relevant co-ordinator experience and knowledge of project management. Previous experience working within a global environment would be an advantage but is not vital

You will have an excellent understanding of the principles and frameworks of successful project management from a support perspective and proven experience in providing service to internal and external stakeholders

You will need to understand project delivery and acceptance processes within a fast-paced business environment and have the ability to demonstrate capability for problem solving, decision making, sound judgment, assertiveness.

You should have excellent oral and written communication skills as well as excellent presentation skills with ability to conduct presentations comfortably to large groups and be able to build strong relationships using excellent interpersonal skills

Responsibilities

Assist and advise leaders, managers, and teams to the best use of project management disciplines and approaches within a fast-paced, high tech environment.

Act as a reference point for PMO queries and information and an advocate for best practices in project management.

Maintain processes to ensure project management documentation, reports and plans are relevant, accurate and complete.

Track and report on project portfolio performance, providing a real-time, comprehensive, and prioritized view of all projects, via our Programme reporting tool.

Provide assistance to maintain and update the project management framework.

Develop relationships with managers and staff to provide support including facilitation, tracking and reporting on projects, and training.

Assist in managing resource allocation, including adjustments based on emerging business or technical opportunities and challenges.

Share lessons learned and best practices across programmes, building relationships with stakeholders and brokering relationships at all levels.

Understand the deliverables of internal and external PMO customers and contribute to success through cooperative processes.

Management of our project reporting software Programme Express, monitoring the quality of information with regular audits, sharing reports across the business and communication of software changes/benefits etc.

Producing weekly agendas and follow up actions for the bi-weekly Retail Investment Committee meetings.

To hold regular global project and service delivery team meetings with each region to review project status, pipeline status, updating stakeholders with progress, risk and escalations.

To hold regular project scoping meetings to fully understand the project submissions to enable the supporting teams to review opportunities quickly and accurately.

Central point of contact for all project, small retail investments submissions, sales support and general enquiries.

Tracking of small retail investments from submission to delivery, which includes updating tracker, communicating to requestor, co-ordination of scoping, financial reviews, approval, equipment ordering, engineering time booking and ensuring successful delivery.

Management of the central PMO space on SharePoint and the setting up and management of project folders.

Working with finance to ensure the project budgets are set up, managed and project closures are communicated.

Budget tracking of the Small Retail Investments and projects, working with finance to review the project capital expenditure forecast.

Ensuring all project, sales and retail investment submissions are tracked in a central location and communicated when necessary.

Facilitating the global equipment forecasting meetings and work with procurement to identify the project and programme requirements going forward.
