JOB DESCRIPTION
JOB TITLE: STRATEGY AND IMPACT TEAM ASSISTANT

REPORTING TO: EA TO DIRECTOR, STRATEGY AND IMPACT

LOCATION: HIGH HOLBORN, LONDON / CANARY WHARF (from April)

SALARY: £23,300 PLUS £4,203 LONDON WEIGHTING PER ANNUM

GRADE: 8

CONTRACT: PERMANENT

PURPOSE
This post works as part of a team providing support to the Director, Strategy and Impact and the directorate senior management team. The role provides administrative support to the Heads of Communication; Knowledge and Oversight and Policy and Public Affairs and their teams.

Key relationships

The Team Assistant forms part of a team supporting the Director and the heads of function in the Strategy and Impact directorate. The Team Assistant will work closely with staff across the directorate, particularly the Parliamentary Officer. The post holder will need to develop relationships with other support staff across the organisation, senior staff including Directors and external stakeholders.

ROLE DESCRIPTION

MAIN DUTIES AND RESPONSIBILITIES

• Providing high quality administrative services which support the Director, Strategy and Impact and the directorate senior management team.
• Managing diaries for the directorate senior management team and organising meetings including regular team meetings.
• Supporting the Parliamentary Officer by coordinating and logging parliamentary correspondence, ensuring it is responded to within appropriate timescales.
• Booking catering, travel and accommodation etc.
• Assist in arranging Directorate, staff and stakeholder events including sourcing and booking and liaising with venues, delegate management and on-site support.
• Meet and greet callers, escort them within the building and provide refreshments.
• Ensure senior management team members have the relevant papers for meetings.
• Taking minutes and action notes at meetings as required.
• Drafting simple correspondence and reports.
• Coordinating FOI requests for the Heads of Function, ensuring they are logged, allocated and responded to within the appropriate timescales.
• Undertaking basic financial tasks such as raising purchase orders, processing invoices and expenses for payment.
• Assisting in the maintenance of the CRM system and use it to generate mailing lists and arrange distribution.
• Undertaking other administrative tasks when required.
• Carrying out any other duties commensurate with the duties and grade of the post that may from time to time be directed.

PERSON SPECIFICATION

Essential

• Experience of providing administrative support to senior managers in a busy, pressurised environment.
• Experience of managing diaries, organising meetings, preparing agendas, papers etc.
• Excellent organisational ability and attention to detail.
• Ability to communicate clearly and accurately both verbally and in writing.
• Excellent interpersonal skills and experience of liaising with senior management and external stakeholders.
• Understanding of sensitivity and confidentiality of certain matters and able to use discretion.
• Ability to develop and coordinate office systems.
• Ability to manage and prioritise a variable workload in particular when supporting multiple teams.
• Good time management.
• Ability to work as part of a team.
• Strong customer focus.
• Positive can do attitude and flexibility of approach
• High level of ICT skills and proficiency in MS Office applications (in particular Word, Excel, and Outlook. Experience of Visio and CRM systems would also be an advantage).
