Job Title Editorial Admin Assistant ( 20 hours per week - Monday - Friday)
Reporting Relationship Reports to Managing Editor
Location London Head Office, Holborn
This is an exciting opportunity for a bright and professional assistant to support the managing editor with department operations. The assistant will administer editorial travel and expense requests, help organise editorial training, manage stringer paperwork and service provider records. You will also work closely with the managing editor and senior editors to co-ordinate projects across editorial and other departments on occasion.
You will apply your strong communication skills to build positive relationships across the organisation, working most closely with London editorial staff, but also developing links with other departments in Europe and globally, demonstrating a pro-active approach and a genuine interest in engaging with the business.
Ensure efficient and effective systems and review and maintain process documentation
Monitor and update training records including cross training and language training
Co-ordinate travel, accommodation and expenses for editorial staff
Manage stringer documentation, tracking agreements and monitoring monthly payments
Process press card applications and renewals
Provide a credible point of contact for staff, clients and stakeholders
Co-ordinate projects, including gathering and balancing responses from editorial staff
Skills and Experience
Strong academic record
Confident communication skills verbally and in writing
Highly organised and efficient with experience prioritising effectively to meet deadlines
Good IT skills, particularly with Excel
Reliable with attention to detail
Experience working with confidential and financial information, applying discretion and using judgement
